Coding Cords or Google Workspace
Google Workspace gives you mail, calendar, documents, meetings, chat and Gemini. Coding Cords does those jobs too, and adds projects, time, a CRM, phone numbers, signing, a client portal, invoices and a Vault, on one bill with AI included.

Choose Coding Cords if
You want mail, documents, chat and meetings in the same place as your projects, hours, clients and invoices, with one login, one bill and AI that can see the work.
Stay with Google Workspace if
Many people write in the same spreadsheet at once, you need Meet recordings★, single sign-on★, apps for your phone★ or offline work★, or you want the lowest price for mail and documents alone.
Use both if
Move projects, time, clients and invoices first and leave mail and Drive in Google until you're ready. Keep your accounting tool either way.
We run Coding Cords on Coding Cords: our own mail, projects, sales and invoices live in it.
Side by side
Each job in Google Workspace, and where it lives in Coding Cords

AI
The AI that comes with each
Both come with AI in the price. They differ in where it works and what it can do.
Gemini in Google Workspace
- Gemini in Gmail on Starter, with basic access.
- Gemini in Gmail, Docs, Meet and more on Standard, with expanded access.
- AI Expanded Access is sold separately. The pricing page shows no price for it.
Cord, in Coding Cords
- Cord is the assistant in the whole workspace: tasks, files, CRM, invoices, expenses, time, mail, chat, meetings, forms and signing. Ask it to draft an invoice for a client's unbilled time and the draft appears.
- Press ⌘J on a document, a deal list or an invoice list and Cord already knows the page and your selection.
- Sending, paying, deleting and inviting wait for your hold of a button. Small changes you asked for happen at once, with Undo.
- It sees what you can open. Vault items, passwords and bank details never reach a model, and your requests go only to providers that don't train on or keep your data.
- In a document, Cord's edits appear as tracked changes, word by word, each with Accept and Reject.
- Admins see AI spend by day, feature, person and model, and can cap or switch off each place AI works.
Your own AI tools can work in it too
Make a personal key in your profile and connect any AI tool that supports MCP, such as Claude, ChatGPT, Cursor and Antigravity. It can read and change tasks, files, deals, invoices, time, mail search and more, as you, with your permissions. Revoking the key stops it at once, and the audit log names the key behind every change.
Why people switch
What the day looks like with separate tools
Three moments you may know from a company run on Google Workspace and a few other tools.
The hours nobody wrote down
On Friday afternoon someone rebuilds the week from memory so the client can be billed. In Coding Cords the calendar block you planned is the record of the hours, and the Bill button turns a client's hours into a draft invoice.
A call that ends and nothing follows
The meeting finishes, one person writes the notes and another turns them into tasks, if anyone does. A Coding Cords meeting is transcribed as it happens, offers to keep a task when someone says "Sam, by Friday", and leaves a summary and decisions behind.
One client, five places
The brief is a document, the thread is in mail, the signed proposal is a PDF and the invoice is in another tool. In Coding Cords they share one record, and one search looks across mail, files and more, limited to what each person can open.
The whole cost
What it costs, in money and in time
Money is one part of the cost. The other is the time it takes to run each tool: a login, a bill and an admin area apiece. These are list prices for the same company in two sizes.

On mail and documents alone Google Workspace costs less. Coding Cords adds projects, time, CRM, signing, phone numbers, invoices and the Vault in the same bill. If you buy those as separate tools today, the stack calculator adds them up with your own numbers.
Running it
- Adding a person
- Google WorkspaceIn the Admin console: Directory, Users, Add new user, then a name, an address and optionally a password or organizational unit. On an annual plan you may need to buy more licenses first, and all services can take up to 24 hours to reach them.Their guide, checked 14 Oct 2026 · source
- Coding CordsPaste their addresses in Settings › Access, choose Member or Admin and press Invite. The seat goes on the bill at the same moment. Their mailbox can be made in the same step.
- Removing a person
- Google WorkspaceDelete the user in the Admin console. What isn't transferred first is deleted, with some kept for 20 days. On an annual plan, deleting a user doesn't reduce your licenses; the license can be given to someone else.Their guide, checked 14 Oct 2026 · source
- Coding CordsRemove them once. They're signed out of every device at their next request and their password stops working. On a paid plan the seat comes off the bill, prorated. Their mailbox stays until you delete it in Mail.
- Changing what someone can open
- Google WorkspaceAdmin privileges and organizational units in the Admin console.Their guide, checked 14 Oct 2026 · source
- Coding CordsOne switch per person for each part of the workspace, such as Invoices or CRM, and one table showing who can use what. A new member starts without Sales, Finance, payroll or time reports.

Fair to say
When Google Workspace fits better
Google Workspace is the better choice for some companies, and we'd rather say so here.
- You need only mail and documents. Google Workspace costs less per person for that, and Standard comes with 2 TB of storage.
- Several people write in the same spreadsheet at once. In Coding Cords documents are written together live, but a spreadsheet and an uploaded Word file have one editor at a time.
- Your documents use footnotes, an automatic table of contents, equations or columns. Our editor doesn't have those yet. Presentations★ are also on the way.
- You record meetings★ or calls★, hold meetings in languages other than English★, or need a meeting that people dial into by phone.
- You need apps from the App Store or Google Play★ or to work offline★. Today Coding Cords runs in the browser, on phones too.
- You need single sign-on★, a choice of data region★, an uptime commitment★ or off-site backups★, or a vendor with its own SOC 2 or ISO 27001 certificate. We hold neither certificate yet.
- Your calendar must stay in sync with Google Calendar★ or Outlook★ today.
Moving over
How the move works
You can move one part at a time and keep Google running until you're ready.
Bring your mail
Import each mailbox from Gmail over IMAP. Sent and All Mail land in Sent and Archive, labels become folders, read and answered marks and dates are kept, and duplicates are skipped. New mail keeps syncing until you change your MX records, so nothing is lost on the day you switch.
Keep your mail app if you like
App passwords let people read their Coding Cords mail in Apple Mail or Outlook while they get used to the rest.
Bring your files
Download your Docs as Word and your Sheets as Excel, then drop the folders into Files. Their structure is kept. A .docx opens in the paper editor and an .xlsx in the grid. When a Word file holds something we can't keep, such as tracked changes or footnotes, we list what editing would drop and keep the original in Versions.
Bring your contacts and your calendar
Import people and organisations from a CSV or vCard file and merge duplicates. Google Calendar sync is on the way, so for now new meetings are made in Coding Cords and go out as invitations that Gmail and Google Calendar accept.
Leave your chat history where it is
Chat starts fresh in Coding Cords; the old history stays in Google while you need it. Run both side by side for as long as you like.
Leave whenever you want
Mail exports as mbox, documents as PDF or DOCX, and contacts, invoices and form responses as CSV. If a plan ends, the company turns read-only, so people can still read and export, and the data is kept for 30 days.

Questions
Questions people ask
Where do the Google prices come from?
From Google's own pricing page, read on 14 October 2026: Business Starter $7, Standard $14 and Plus $22 a person a month, each with a 1-year commitment and excluding tax. Each line links to the page. Enterprise is priced by quote, so it isn't in the tables.
Is Coding Cords cheaper than Google Workspace?
Not for mail and documents alone. Google Workspace Standard costs less per person than a Coding Cords plan, and the price tables above show the exact amounts for 5 and 12 people. The comparison changes when you count the tools you'd otherwise add for projects, time, CRM, signing, phones and invoices, which the stack calculator adds up.
Can we keep our domain?
Yes. You add your domain and point its DNS records at Coding Cords. Mail moves in from Gmail over IMAP, and you can keep Google as the place mail arrives until the day you change your MX records.
Can we keep using our Google Docs and Sheets files?
Download them from Google as Word or Excel files and upload them to Files. Word files open in the paper editor and save back as .docx. Excel files open in the grid and save back as .xlsx.
What happens to our Google Drive sharing links?
Links to files still in Google keep working there. Links from Coding Cords open for signed-in colleagues. Clients see a project's folders through the client portal, since there are no public share links yet.
Is AI extra?
Every person gets a monthly AI allowance with the plan. If someone needs more, AI tiers start at $8 a person a month. Unused AI doesn't carry over to the next month. Google's pricing page lists Gemini inside the plans and sells AI Expanded Access separately without showing a price.
Where is our data kept?
On dedicated servers at Hetzner in the EU, in ISO 27001-certified data centres. You can't choose a region yet, and we don't hold a SOC 2 or ISO 27001 certificate of our own.
What won't Coding Cords replace?
Your accounting. We send invoices and record expenses, but we don't keep the books, and payroll covers pay runs and payslips without tax filing.
Can the whole team try it first?
Yes. The trial is 14 days of the Company plan for up to 10 people, with no card. Phone numbers and Outreach are off during the trial.
Try it on your own work
Start with a project and your mail, then bring the rest over when you're ready.
