Clients

From the first enquiry to the signed contract, in one place

A form on your website makes the lead and the task. A document in Files goes out for signature. A client portal shows each client their project, their invoices and what is waiting on them.

What it does

What working with a client looks like in Coding Cords

Eleven things that happen between the first message and the last invoice, each as it works today.

Form builder

Build the form and see it as your customer will

A new form opens with a name, an email and a message already in place, and a thank-you line ready to go. Add questions beside a preview you can fill in.

  • Twelve kinds of question: short answer, paragraph, email, phone, number, date, one choice, several choices, dropdown, yes or no, a rating of one to five stars, and file upload.
  • One tap on a kind adds the question and opens it. Drag the handle to reorder, duplicate a question or delete it, up to 60 per form.
  • The preview switches between phone width and desktop width, shows your logo and name, and sends nothing when you test it.
  • Changes save by themselves. If the server refuses one, it is undone with the reason. If you are offline, what you typed is kept and retried every few seconds.
  • Switch a question to a choice kind and it brings Option 1 and Option 2. Switch away and the options go.

Conditional questions

Ask only what applies, and keep the logic valid

Show a question only when an earlier answer calls for it. The closed card reads "When 'Budget' is Over $10k", so you can see the rule without opening it.

  • A rule can wait on a choice, dropdown, yes or no, or rating question.
  • Move the question a rule depends on below it, delete it, or remove the answer it waited for, and the rule is dropped instead of left broken.
  • A question hidden by a rule also hides anything that depends on it. The API checks the same rules, not only the browser.
  • Answers to hidden questions are never sent or stored, and a hidden required question never blocks Send.

After an answer

An answer becomes a lead, a task, a document and an email

Each form decides what happens when someone sends it. Switch on the steps you want and an enquiry reaches the right person without anyone copying it over.

  • Add to the CRM as a lead. Switching it on guesses which question is the name, email, phone, organisation and job title, and you can change each.
  • A returning person is matched by email or phone. The answer goes onto their timeline, only blank details are filled in, and nothing is overwritten.
  • Make a task in a project you pick, titled from an answer, with every answer in the description and a link back. Give it to a teammate or leave it in the Backlog.
  • Save each answer as a document in a "Your form answers" folder, or email it to the teammates you choose with an Open the answer button.
  • Each step runs on its own. If a project was deleted, the other steps still happen and the person filling in the form never sees an error.

Share and read

Put it on your website, then read what comes in

Every form has a public link. Paste the embed code into your site and the frame grows with the form as questions appear.

  • Open and close the form with one switch, or set a date and time after which it closes itself.
  • Spam is handled without a CAPTCHA: a hidden field that bots fill in, a limit of 10 answers an hour from one address and 30 uploads an hour.
  • Past your plan's monthly allowance, answers are still taken. Admins are told once, at the first one over.
  • The Answers tab shows newest first, with search and icons for the lead, task and document made from each. Open an answer for files and the Made from it links.
  • Export to CSV with one column per question. Delete an answer and its files go, while what was made from it stays.

Send for signature

Send a document for signature without leaving it

Press Sign in the bar of any Word document or PDF in Files. For a document, the PDF is made from what is on screen, unsaved typing included.

  • Find signers in your team and your CRM by name or email, with arrow keys and Enter. Anyone else can be typed in.
  • Up to 20 signers, a note, and a Sign by date. Turn on Sign in this order and each person is asked only after the one before has signed.
  • A page of signature blocks is added at the end, with each signer's name and email.
  • The email comes from your company's mailbox in its name, and replies go to you.
  • A proposal uses the same signing. Accepting it starts the request, signing marks it accepted, and withdrawing the proposal withdraws the request.

The signer's side

Your client signs from the email, on a phone if they like

The signer opens a personal link with your logo and name on it. There is no account to make and no app to install.

  • Tapping Sign sends a six-digit code to their email. It checks itself the moment the sixth digit is typed, pasted or autofilled.
  • Their name is already there as a handwritten signature, which they can edit, or they can draw one with a finger or pen.
  • The consent line is plain, and the server refuses a signature without it.
  • Decline with a reason and the reason reaches you by email.
  • Every state has a plain note: You've signed, Not your turn yet, Withdrawn, Ran out of time, and Everyone has signed with a download.

Follow and remind

See where every request stands, and let the chasing run

Signatures, at the top of Files, lists what is Out, Signed or Closed. Each row says "1 of 2 signed" and who it is waiting for.

  • A request page shows each signer, when they opened it, when they signed or why they declined, and how many reminders they have had.
  • What happened is a timeline of every event with the time and IP address: sent, opened, code sent, email confirmed, signed, reminded.
  • Reminders go out after 3 days and again after 7, never more than two. A manual Remind holds the next automatic one back for a day.
  • A request past its Sign by date closes as Ran out of time and you get an email.
  • Withdraw stops the links and tells those already asked. People still waiting their turn never hear of it.

The signed copy

The proof travels with the file

When the last person signs, every signature and its date are stamped into the signer's block, in your company's time zone. A Certificate of signing page on your letterhead is added at the end.

  • The certificate lists the reference, the sent and completed times, the email check used, each signer with time and IP address, and each signer's browser.
  • It also gives the document's SHA-256 fingerprint as it was sent, and one for the finished file.
  • Everyone gets the signed copy by email, and it is saved in Files beside the original as "name – signed.pdf".
  • If two last signatures arrive together, the copy is still finished only once.

Portal access

Decide what each client sees, project by project

Switch the client portal on in Settings, add a welcome line, and every CRM organisation and person gets a Client portal section. It shows who can sign in, when they were last seen, and which projects they see.

  • Let someone in and they get an invitation from your company, valid for 7 days. Resend it, send a reset link, or take access away and they are signed out at once.
  • A temporary password comes in three short groups with no look-alike characters, made to read over the phone. The client must change it at first sign-in.
  • In a project's settings, add people from the client's CRM contacts and tick what they see: Progress, chosen Files folders, Meetings, Messages, Forms.
  • Access follows the project's client. Change the client and nobody from the old one sees the project any more.
  • Progress shows tasks and dates as Done, Under way or Planned. Comments, people and time stay inside.

What needs you

One list tells the client what to do next

A client's home greets them by first name and opens on "What needs you". Everything waiting on them is in one list, with the most urgent first and one button on each row.

  • It collects overdue invoices, documents to sign, proposals to answer, invoices due, new team messages and forms to fill in. The buttons read Pay, Sign, Review, Reply and Fill in.
  • When nothing is waiting it says "Nothing right now. You're all caught up."
  • Below it are their projects with a progress bar and the next three meetings, each with Join.
  • Invoices open to the bank details and a payment QR code, with the PDF alongside. Proposals and documents to sign are in the same menu.
  • The menu shows only the parts a client has. A project with one part shows no tabs.

Messages and sign-in

Client messages arrive in your Chat

Switch Messages on for a project and a private Chat channel is made for that client, such as client-acme-website. The client writes in the portal and your team replies in Chat.

  • The team sees "Ana Lima (Acme)", counted as unread, with a push notification to each member of the channel. The reply shows up in the portal.
  • Clients sign in by email link, a password or a passkey with Face ID, Touch ID or a security key. A client of several companies picks which portal to open.
  • Wrong passwords lock the account for 15 minutes after 8 tries, and unknown addresses lock the same way, so a lockout does not reveal who is a client.
  • Portal sessions and team sessions are separate and can never stand in for each other. Sessions end after 14 days idle.
  • The portal is built for a phone first, with large touch targets, and search engines are told not to index it.

Cord here

Ask Cord about your clients

Cord reads your forms, signing requests and portal access. It lists forms, reads a form's questions and answers, lists signing requests with each signer's state and sends reminders. Answers show as cards in the chat. Building forms, sending a document for signature and giving or removing portal access stay in the app, on purpose.

  • What came in on the contact form this week?
  • Who hasn't signed the Acme contract yet?
  • Remind them
  • Can Ana from Acme sign in to the portal, and which projects does she see?

The same actions are open to any AI tool that supports MCP, such as Claude, ChatGPT, Cursor and Antigravity, with your own permissions.

Simple to run

Simple to run

Forms, signing and the portal sit in the workspace you already use. Nothing to install for your clients, and no second login for the team.

Signers and clients need no account to start

A signer opens a personal link and confirms their email. A portal client sets a password or a passkey from the invitation.

The portal is an admin switch

Owners and admins switch it on in Settings and write the welcome line, up to 300 characters. Everyone who uses the CRM can see who has access, and admins change it.

Who sees a signing request follows where it came from

Requests from Files need Files access. Requests that came from a proposal need CRM access.

Your form never loses an answer

Answers past the plan's monthly allowance are still taken, and admins are told once.

Cord is included

Every person has AI on every plan, so asking Cord who has not signed yet does not need a separate subscription.

Fair to say

What it doesn't do yet

Where a part isn't built, it is here, and the ones we're working on carry a star.

On the roadmap

  • Digitally sealed PDFs★A signed PDF carrying a digital seal and a trusted timestamp, on top of today's certificate of signing.
  • Portal on your own domain★Clients sign in at an address of yours instead of portal.codingcords.com.
  • Card payments on invoices★Clients pay an invoice online by card and it is marked paid on its own. Today the portal shows bank details and a payment QR code.
  • Signature fields on the page★Place where each person signs, initials or dates, right on the document.

Not in the product today

  • Stronger identity checksThe only check is a code sent to the signer's email. There is no SMS code or ID check, and it is not a qualified or advanced signature under eIDAS.
  • Signing templates and bulk sendNo reusable templates, no sending to many people at once, no copy-only recipients and no signing in person. A sent request can't be edited, only withdrawn and sent again.
  • Longer formsNo pages or sections. A rule is one answer to one earlier question, with no and/or and no skip to the end.
  • Form styling and a reply to the senderOnly your logo and name, no colours or fonts, and no form address of your own. The standalone page carries a Sent with Coding Cords footer. The person who answered gets no confirmation email.
  • Summaries of answersAnswers appear in a table with search and CSV. There are no charts, and an answer can't be edited.
  • Uploads and attachments from clientsClients can read and download in the portal. They can't upload files, and messages are text only.
  • Instant messages in the portalThe portal looks for new messages every 15 seconds, and clients aren't emailed about them.
  • Portal for people without an organisationProjects are shared with a client organisation. A person without one can sign in for proposals, invoices and signing but can't be added to a project.

Questions

Questions people ask

Do my clients need an account to sign?

No. Each signer gets a personal link, confirms their email with a six-digit code that lasts 15 minutes, and signs by typing or drawing. A confirmed email can sign for 30 minutes.

What is in the signed document?

Each signature and date are stamped into the signer's block, and a Certificate of signing page on your letterhead is added. It lists times, IP addresses, browsers, the email check and the document's SHA-256 fingerprint. It is not a qualified or advanced signature under eIDAS, and a digital seal with a trusted timestamp is on the roadmap.

What can I send for signature?

Word documents and PDFs from Files, up to 40 MB and 20 signers. Cord can show who has signed and send reminders, and you send the document yourself.

Can a form create a lead and a task at the same time?

Yes. One answer can add a lead, make a task in a project, save a document in Files and email teammates. A person already in the CRM with the same email or phone is not duplicated, and only their empty details are filled in.

Can I put a form on my own website?

Yes. Copy the embed code from the Share tab, paste it into your page, and the frame resizes as the form grows. A thank-you message or a redirect to a page of yours runs after sending.

Can clients pay invoices in the portal?

They see what is due and open a page with your bank details and a payment QR code. Card payment on invoices is on the roadmap.

Can a client upload files or attach them to messages?

Not yet. In the portal, clients can read and download the folders you share, and messages are text only.
