Finance

Bill the work, and the paperwork keeps itself

An invoice starts from a won deal, an accepted proposal or the hours on your calendar. It is numbered when it goes out, chased while it is unpaid and corrected only on the record. Expenses and pay runs sit beside it.

What it does

What Finance looks like in Coding Cords

Eleven things a small company does every month, each as it works today.

The draft

Write the invoice once and the sums are right

Pick the client from your CRM, an organisation or a person, and the name, billing email and address fill in. The draft saves itself while you type, and totals update on every keystroke.

  • With both a person and an organisation chosen, the address reads "For the attention of" that person. Every client field can still be edited, the VAT number included.
  • Each line has a description, a quantity of up to three decimals, a unit price and its own tax rate. New lines start with the company's usual tax.
  • Tax is worked out once per rate on that rate's subtotal, in whole cents, rounded half up. The screen, the PDF and the server give the same figures to the penny.
  • Set an issue date, a due date and a supply date or period. A due date before the issue date, or a period that runs backwards, is refused.
  • Choose from eleven currencies, each with its own symbol. Starter invoices in the company's own currency, and any currency needs the Company plan.

Same lines

The second invoice is one click

Choose a client you have billed before and the new invoice starts as a copy of the last one: lines, notes and payment terms, dated today. The switch shows that invoice's number, date and total.

  • Same lines as last time is on by default. Switch it off for a blank invoice.
  • New drafts take the company's payment terms, so the due date is the issue date plus the terms in days.
  • The standard notes you wrote in Settings come at the foot of every new draft.
  • Duplicate any invoice as a fresh draft dated today, whatever its status.
  • Preview the draft as a PDF in the app's own viewer. It is rendered fresh each time it opens.

From the work

Invoices come from the work itself

A deal, a proposal and a block of hours can each become an invoice without retyping a line. The sale, the work and the bill agree because they are the same records.

  • On a won deal with a client, admins get an Invoice button. The deal's title becomes one line, at the deal's value and currency.
  • When a client accepts a proposal, the lines they accepted become a draft, or an invoice sent straight away, depending on the proposal's on-accept setting. Optional lines come across only if the client chose them.
  • Bill a client's tracked time: preview each line as hours times rate, and the draft opens with the supply period filled in. This needs the Company plan.
  • Billed hours are locked to the invoice, so the same hour can't go on two. Void the invoice, credit it in full or delete the draft and they can be billed again.
  • The New menu starts an invoice or an expense from anywhere in the workspace.

Numbers and records

Numbered when issued, frozen once sent

A draft has no number. It gets INV-2026-0042 the moment it is issued, with no gaps, and the count starts again at 1 each year. Credit notes have their own series, CN-2026-0001.

  • Numbers run per company, per kind and per year. Two invoices issued at the same moment get consecutive numbers, and an issue that rolls back gives its number back.
  • Issuing copies the seller's name, address, tax and registration numbers, bank and contact onto the invoice and keeps the PDF. A later download or resend is the exact file the client received, even after the company profile changes.
  • An issued invoice can't be edited or deleted. It can be paid, credited or voided, and the app says why when you try anything else.
  • A credit note covers the whole invoice or an amount before tax, with a reason such as Discount agreed. It lowers what is owed and says which invoice it corrects.
  • Void keeps the number and marks the invoice void. One with payments or live credit notes can't be voided, and the confirmation explains when to void and when to credit.

Client page

Your client can pay in seconds

Every issued invoice has its own page that opens without an account. It shows your logo, the amount due in large type, the due date and the full invoice, with the PDF beside it.

  • How to pay lists your bank details and the reference to quote, each with a copy button.
  • A euro invoice to a company with an IBAN carries a standard SEPA GiroCode. The client scans it and their banking app fills in the name, IBAN, BIC, amount and the invoice number as the reference.
  • Other invoices carry a code that opens the invoice's own page. Once nothing is owed there is no code, and credit notes have none.
  • The first time the client opens the page the invoice changes from Sent to Viewed, and the history records it. You can answer "I never got it" with a time.
  • Each link is long, random and works for one invoice only. Drafts are never public, and one address can open at most 300 invoice links in ten minutes.

Chasing

Unpaid invoices chase themselves

While an invoice is unpaid, the client gets a polite reminder three days before it is due, on the day and a week after. Each is sent once, with the PDF attached, and they stop when the invoice is paid.

  • The wording is built in and asks them to ignore it if payment is already on its way. A reminder that is days late still goes, but a long-overdue one is never sent late.
  • Reminders are recorded before they go out, so one can't be sent twice. A company-wide switch in Settings turns them off.
  • Overdue invoices float to the top of the list, oldest due first, with a Remind button on the row that opens the send sheet filled in.
  • The strip above the list shows Outstanding, Overdue and Paid this month. Each amount stays in its own currency and is never mixed.
  • Search by number, client or amount. Type 1,200 or £1200.50 and you find invoices with exactly that total or amount owed. Type 0042 and you find INV-2026-0042.

Receipts

Snap a receipt and the form fills itself

On a phone a new expense opens with the rear camera first, because the receipt is usually in your hand. On a computer, drop a photo or a PDF anywhere on the form.

  • A receipt can be a photo or a PDF of up to 20 MB, and it uploads as soon as you pick it.
  • When the company has that AI feature on, Cord reads vendor, amount, currency, date and category. It fills only the fields that are still empty, never what you typed, and a note offers Undo.
  • An amount such as 1.249,50 is left blank instead of misread. A US receipt's date is read month first, others day first.
  • Amount fields are forgiving: 12,50 and £12.50 both mean twelve fifty.
  • The receipt shows as a thumbnail, opens full size in the app's viewer with Download, and rows in the list carry a paperclip.

Claims

Approved in one tap, paid back with payroll

An expense is either a claim, where someone paid with their own money, or a company cost that is only recorded. Everyone but an admin can only claim. Admins choose who paid.

  • A claim notifies every admin, who can approve it from the notification itself or on the list row, with Undo. On a phone, long-press a waiting claim.
  • Rejecting asks for a reason the person will see. They can fix a rejected claim, which sends it back for approval and clears the old reason.
  • A person can edit their own claim until it is approved. Once it is paid back or held by a pay run, nobody can change it.
  • Approved claims go into the next pay run in the person's pay currency and appear on the payslip as Costs paid back. Admins can also mark one paid by hand.
  • Members see only their own claims, admins see the company's, and another company sees nothing.

Costs

Where the money goes, and what renews

The cost overview shows a month's total against the month before, ranked bars by category, vendor and project, and what renews in the next 30 days. Only approved and paid-back costs count.

  • Nine fixed categories keep every report reading the same way. Costs can be tied to a project, and those of a project in the trash still count.
  • Subscriptions list each tool with its plan, seats, owner, cost per cycle and cost a year. Each renewal is recorded as a cost on its day, and a subscription left alone catches up on every missed renewal.
  • The owner gets an email a week before each renewal, saying what it costs and to cancel it with the vendor if it is no longer needed.
  • Pay as you go is a grid of API and cloud bills, one row per vendor and six months across, with the change on the month before. Paste vendor, month and amount from a sheet in commas, semicolons or tabs, and bad rows are listed by line.
  • Export a year as CSV. Admins export everyone's costs and members their own, and each export is written to the audit log.

Payroll

A monthly pay run a small team can finish quickly

Set each person's monthly pay, currency and bank account, then start a run for last month, this month or next. It begins with everyone active, plus the approved claims they are owed.

  • In the draft, change a person's base pay for a part month, add deductions such as income tax or an advance, add a bonus or leave someone out. Net pay updates as you go.
  • Finalise shows a last look, such as 3 people and the total with the pay date. A run with anyone's net pay below zero is refused, naming them.
  • Finalising locks the run and gives each person a numbered payslip, PAY-2026-0001, with a stored PDF. It shows earnings, deductions, costs paid back, net pay and year-to-date gross and net.
  • Download a bank export CSV of the final run for the transfers. It is for admins only and recorded in the audit log.
  • Account numbers are encrypted in the database, masked on screen and shown whole only to an admin who presses Show. Each person opens their own payslips once the run is final. Payroll needs the Company plan, and payslips are on every plan.

Cord here

Ask Cord about the money

Cord can answer what is owed, what is overdue and what came in this month, and what you spent, as a summary or a chart. It can draft an invoice for a CRM client and log an expense with the receipt you attached. Recording a payment, issuing, sending and voiding are shown to you first and wait for your click.

  • What's overdue?
  • How much did we spend in September?
  • Draft an invoice for Northwind for the October retainer
  • Log this receipt as a travel cost
  • Bill Acme for September

The same actions are open to any AI tool that supports MCP, such as Claude, ChatGPT, Cursor and Antigravity, with your own permissions. Payroll is left out of Cord and MCP on purpose.

Simple to run

Simple to run

Finance is one part of the same workspace as your CRM, projects and mail. There is no second login for billing and no other tool to set up.

Money is off until you switch it on

A new member starts without Invoices, Expenses or payroll. Admins give each part to people one at a time, and payslips are a separate access so staff can open their own.

Your company details fill every document

Logo, address, tax and registration numbers and bank details come from the company profile and print on invoices and payslips.

Settings are short

Admins set the tax rates, the usual tax, the payment terms, the standard notes and whether reminders go out. A removed tax rate stays on the invoices that used it.

Amounts are exact

Money is handled as exact decimals, never as floating-point numbers, and rounded half up to the cent. A tax rate is copied onto each line, so changing it later never changes an invoice already made.

Plans

Starter has invoices in the company's own currency, expenses and payslips. The Company plan adds invoices in any currency, billing tracked time and payroll.

Fair to say

What it doesn't do yet

Where a part isn't built, it is here, and the ones we're working on carry a star.

On the roadmap

  • Card payments on invoices★Clients pay an invoice online by card, and it is marked paid on its own. Today they pay by bank transfer or however you take money, and you record the payment.
  • Payroll tax calculation★Tax worked out on each payslip. Pay runs and payslips work today, with tax entered by hand as a deduction.

Not in the product today

  • Bank feeds and matchingPayments aren't read from bank statements. You record each one, and the app doesn't match it to an invoice for you.
  • Sending to accounting softwareThe invoice list, costs and bank file are CSV exports for your accountant. Nothing is sent on from them.
  • A discount fieldA discount is a line with a minus price, or a credit note after issuing.
  • Your own invoice designThe invoice's look is fixed. Logo and company details come from the profile, with no templates, colours or custom fields.
  • Custom reminders and late feesThe schedule and wording are fixed, and the only control is on or off for the whole company.
  • More repeat optionsSchedules run monthly, quarterly or yearly. The lines of a schedule can't be edited, so you stop it and repeat a new invoice.
  • Currency conversionThere are eleven currencies and no exchange rates. Totals stay per currency and are never added together.
  • Financial reportsNo profit and loss, cash flow, aged debtors or VAT return. The overview is for the current month.
  • Larger expense rulesNo mileage, per-diem, approval chains, spending policies or card feeds. The category list is fixed. The person who claims isn't told when it is approved, rejected or paid back, and an admin can approve their own claim.
  • Wider payrollPay runs are monthly only, with no pension or benefits, nothing filed with authorities and no hourly pay from tracked time. The bank file is a plain CSV.
  • Automatic usage and subscriptionsPay-as-you-go bills and subscriptions are pasted or typed, not pulled from vendors or found from receipts. A usage month can be changed but not deleted.

Questions

Questions people ask

Can clients pay by card?

Not yet. Card payments on invoices are on the roadmap. Today the client page shows your bank details with copy buttons and a payment code, and you record the payment when it arrives.

Can I change an invoice after I send it?

No. An issued invoice is frozen with its PDF, so what the client received is what anyone gets later. Correct it with a credit note, or void it if nothing has been paid or credited. Then issue a new one.

How are invoices numbered?

When issued, in the form INV-2026-0042, with no gaps. The count runs per company and starts again at 1 each year. Credit notes use CN-2026-0001 and payslips PAY-2026-0001.

Can I invoice for hours worked?

Yes, on the Company plan. Time comes from your calendar. Pick a client and a period, check the hours times the rate in the preview and a draft opens in Finance. Billed hours can't go on a second invoice.

Does payroll work out tax?

No. You enter tax and contributions as deduction lines on each person's payslip. Tax calculation is on the roadmap. Runs are monthly and need the Company plan.

Who can see the money?

Invoices, expenses, payroll and payslips are each given to people separately, and admins always have them. Members see only their own claims and their own payslips. Records of another company are never visible.

Does it send my invoices to accounting software?

No. You export the invoice list or a year of costs as CSV for your accountant. The invoice CSV has number, client, VAT number, status, dates, net, tax, total, paid, credited and owed.
