Team and admin

Run the team from one page, and know who is in

The directory, time off, workload and the settings that decide who can use what share one set of facts. Approve a holiday once and it shows on the calendar, in the directory, in meeting times and in the week's capacity.

What it does

What running a team looks like in Coding Cords

Eleven things admins and managers do, each as it works today.

People

Everyone in the company on one page

The directory lists each person with their title, department, manager and location. People who have not joined yet carry an Invited mark. Above the list, an Away this week strip shows who is out and when.

  • Search by name, title, email or department as you type, with a live count. Narrow the list to one department, and the choice is remembered in your browser.
  • The strip has one chip per stretch of time off, such as "Ali · Mon–Wed" or "Bea · All week". A request still waiting shows faded.
  • A row says "On holiday until 12 Oct" or "Off sick today" beside the name.
  • Chat, Email and Call appear on a row when you hover or focus it. Call shows only for people with a phone number.
  • Admins invite from this page with the same sheet as Settings. On a phone, a long press on a person opens Open, Chat, Email and Call.

A person's page

Everything about a colleague, and the way to reach them

A person's page shows who they are, who they report to, what they are working on and how to reach them. You can walk the reporting line by clicking through.

  • Email, phone, location, start date with the time since (3 years, 8 months, New) and a short bio of up to 600 characters.
  • Reports to and Manages show each person as a link to their own page. Nobody can be their own manager, and a loop in the reporting line is refused.
  • Working on lists the projects where they have open tasks, with a count for each. Their private personal tasks are never in it.
  • Admins edit title, department, manager, start date and a personal holiday allowance. A person edits only their own phone, location and bio, and the server enforces that split.
  • Their time off shows only to the person, their manager and admins.

Time off

Ask in seconds, and see your balance before you send

Ask for Holiday, Sick or Other with a first and last day and an optional note. The form works out the days as you fill it in, so nobody keeps a spreadsheet of who has what left.

  • Today, Tomorrow and Next week fill the dates in one tap. Half days are there for a single day, an afternoon on the first day or a morning on the last.
  • The line under the form reads "3.5 days · 12 days left in 2026 after this" before you press Ask.
  • Only weekdays count. A request that is all weekend is refused, so are overlapping requests, and so is holiday beyond what is left, with the exact numbers in the message.
  • A request across New Year is counted against each year.
  • Mine shows your own requests by year, with each approver's note.

Approving

One approval, and every place that needs it knows

A request goes to the person's manager, or to the admins when they have none or the manager has left. Nobody approves their own. An admin with nobody above them is booked at once.

  • The To approve tab carries a count and opens by itself when something is waiting. Approve or Decline is one click.
  • The same buttons sit on Home under what needs you, and Cord can decide too, after asking you first.
  • Approved time shows as Off or Half off in the person's own calendar, and on their row as "On holiday until 23 Oct".
  • Meeting times treat the person as busy for those halves of the day, in their own time zone. Only the times are shared, never the kind or the note.
  • A month calendar shows who is away, with waiting requests faded. The person is told when a request is approved, declined or cancelled.

Workload

See who is overloaded on Monday, not on Friday

Workload sets each person's planned hours from their calendar blocks against what they can work that week. The bar turns red when they are over, and the busiest person comes first.

  • Capacity is a 40-hour week, less 8 hours for each weekday of approved time off and 4 for a half day. A bar reads "26h of 40h".
  • Beside each bar are the counts due this week, overdue in red, and in progress.
  • Click a person to open their unfinished tasks across projects, soonest due first, and click a task to open it.
  • Move between weeks with the pager.
  • Admins see everyone's week. Members see only their own, and personal tasks count only in their owner's week.

Time to invoice

Hours become an invoice without retyping

Team, Time lists the billable hours not yet on an invoice, client by client. Choose a period, check the lines, and a draft opens in Finance.

  • Ready to bill shows each client with hours, the amount in each currency and a warning when a project has no hourly rate.
  • Bill a client (admins) takes all unbilled time, last month or this month, as one line per project or per person. The preview shows each line, such as "12 h × $85", and the total before tax.
  • Reports total logged, billable, not billed yet and billable value by project, client or person, for a week, month, quarter or year.
  • Your own week sits beside last week's, and the whole period exports as CSV.
  • The project's client, billable switch, hourly rate and currency are set by admins in its settings. Time to invoice comes with the Company plan.

Inviting

Bring your team in with one paste

Paste the addresses from an email thread or a spreadsheet, choose Member or Admin once for the batch, and press Invite. Names are filled in from the addresses.

  • Newlines, commas and semicolons all work, and so does "Jane Doe <jane@acme.com>" as mail apps copy it. "jane.doe@" becomes Jane Doe.
  • Duplicates are dropped whatever their case. Anything that is not an address is shown back as Not an email, so nothing is lost quietly.
  • The button counts for you: "Invite 3 people". If some fail, only those stay in the box, each with its reason.
  • Invite from the New menu anywhere, or search Settings for Invite a person. Copy a fresh join link, or resend the email.
  • On a paid plan the seats you pay for rise and fall with the people you invite and remove. A trial stops at 10 people.

Who can use what

Decide who sees what, one switch at a time

There are three roles, Owner, Admin and Member. On top, each person has a switch for every part of the product. A new member starts with their own work and nothing about money.

  • A new member has tasks, mail, chat, files, the Vault, the directory and their own expenses and payslips. Sales, invoices, payroll, time reports and forms stay off until you switch them on.
  • The Access table has a row for each person and a column each for Work, Sales, Finance, Team, Forms and Vault, reading All, 2 of 3 or None. Click a row for that person's switches.
  • Every route of a part is guarded on the server and on screen. A test walks the real app's routes, so a new page cannot slip past. Without access you see Ask an admin.
  • A role change applies on the person's next request, with no new sign-in.
  • Removing someone signs them out of every device on their next request and switches the account off. A company always keeps one owner, and ownership is handed over on purpose.

Activity log

Every change on the record, by person or by AI

Activity records every change and sign-in in the company, newest first. When a client, auditor or co-founder asks who changed something, the answer is one search away.

  • Filter by person, module, action and dates, or search by record or person. Open an event for who, when, IP address and device, with a Field, Before and After table and the old value struck through.
  • It names who really acted: a person, "Cord for Ana Lima", "Ana Lima · Claude Desktop" for an API key, or "Coding Cords (automatic)" for scheduled work.
  • A record's own menu opens its history, on tasks, files, invoices and deals.
  • The database refuses any edit or delete of an event. Owners choose to keep events for 1, 2, 5 or 7 years, and export the filtered list as CSV, which is itself logged.
  • How far back you can read follows the plan: 90 days on Starter, 1 year on Company, 3 years on Enterprise. Older events are kept and only hidden, so changing plan never destroys history.

Sign-in security

Careful sign-in for a company of any size

Every person manages their own security in their profile. None of it needs an IT person.

  • Two-step codes from any authenticator app, with 10 recovery codes. Each code works once. Passkeys use Face ID, Touch ID, Windows Hello or a security key.
  • Where you're signed in lists every browser and the Chrome extension with device, address and last use. Sign out one, or all the others.
  • An email arrives when a browser and system that has not signed in for 90 days does.
  • After 5 wrong passwords in an hour, each try waits longer, up to 15 minutes. Addresses with no account get the same wait, so it never shows who has one.
  • Security settings cannot be changed with an API key, so a key given to an AI tool cannot take over an account.

Company profile

Enter your details once and every document uses them

The company profile fills invoices, proposals and payslips. It saves as you type, so there is no Save button to forget.

  • Name and legal name, logo, address, email, phone, website, tax and company numbers, and bank details.
  • Invoices carry a payment QR code made from your bank details.
  • Choose the currency, payment terms and footer note, and the mailbox documents go out from, so a client's reply comes back where you read it.
  • Drop a logo on the field. Its look is read from the image so a dark logo is never lost on a dark page.
  • Letterheads are Files templates, so every letter starts from your own header and footer. Members read the company details and only admins change them.

Cord here

Ask Cord about your team

Cord knows who is in, who is away and what time is unbilled. Say what you want and it does it. Asking for time off, deciding a request and inviting a person wait for your confirmation first.

  • Who's off today?
  • Who is away between 20 and 30 October?
  • How many holiday days do I have left?
  • Approve Maya's time off
  • Invite jane@acme.com as a member

The same actions are open to any AI tool that supports MCP, such as Claude, ChatGPT, Cursor and Antigravity, with your own permissions. Each one is recorded in Activity under your name and the tool's.

Simple to run

Simple to run

People, time off and access sit in the same workspace as the work they affect. There is no separate HR tool and no second login.

Safe from the first day

A new member sees their own work and nothing about sales, invoices, payroll, time reports or forms until an admin switches those on.

Per-person access is a Company plan feature

On Starter, members keep the defaults and the switches cannot be saved.

Owners are protected

A company always has an owner. Admins cannot remove or demote one, and nobody changes their own role or removes themselves.

Everything has a search

Settings search matches words people actually use, such as offboard, iban, dkim and seats. Admin sections are hidden from members.

Cord is included

Every person has AI on every plan, so asking Cord who is off needs no separate subscription.

Fair to say

What it doesn't do yet

Where a part isn't built, it is here, and the ones we're working on carry a star.

On the roadmap

  • Custom roles★Roles you define, beyond Owner, Admin and Member.
  • SAML single sign-on and SCIM★Sign-in through your identity provider, with people added and removed from it.
  • Sign in with Google and Microsoft★Use the account your company already has, beside passwords and passkeys.
  • IP allow list★Sign-in only from the networks you name.
  • Legal hold★Keep a person's or a project's data from being deleted while a matter is open.
  • Data residency★Choose the region your company's data is kept in.

Not in the product today

  • Public holidaysOnly weekends are skipped. Leave years are the calendar year, with no carry-over or accrual, and there are three kinds of leave.
  • A note when approving or declining on the webThe buttons do not ask for one. Cord asks for it, and the requester sees it.
  • Part-time capacityWorkload uses 40 hours for everyone, so there are no part-time hours or per-person working days.
  • Groups of people and an org chartDepartments are free text. The reporting line shows as Reports to and Manages on each page.
  • Company-wide rules for sign-inAn admin cannot require two-step or passkeys for everyone, see other people's sessions or sign out one person's device. Removing the person ends all their sessions.
  • HR recordsNo documents per employee, emergency contacts, onboarding checklists or birthday feed. Payroll is its own part of Finance.
  • Timesheet approvalTime comes from calendar blocks, with a billable switch on each entry.

Questions

Questions people ask

Who approves time off?

The person's manager. When they have no manager, or the manager has left, it goes to the admins. Nobody approves their own, and an admin with nobody above them is booked at once.

Does it know public holidays?

No. Only weekends are skipped when days are counted. The holiday year is the calendar year, and an admin sets the company allowance in days and halves, which a person's own allowance can override.

Who can see time off and workload?

Time off shows to the person, their manager and admins. The Away strip and the calendar show who is out, and the kind and note stay private. Admins see everyone's workload and members see their own.

Can I limit what a new hire sees?

Yes. New members start with their own work and nothing about sales, invoices, payroll, time reports or forms. Each part has a switch per person, set from the Access table. This comes with the Company plan.

What happens when someone leaves?

Remove them and they are signed out of every device on their next request, and their account is switched off. Their mailbox stays until you delete it in Mail. Inviting them again lets them choose a new password.

How long is the activity log kept?

Owners choose 1, 2, 5 or 7 years. What you can read follows the plan: 90 days on Starter, 1 year on Company and 3 years on Enterprise. Older events stay stored and are only hidden, so history is not lost when a plan changes.

Can an admin force two-step for everyone?

Not yet. Each person turns on two-step or adds a passkey in their own profile. There is no company-wide rule.
