The short version. A few features carry rules of their own: tell people before you record or transcribe a meeting, check invoices and payslips before you use them, our e-signatures are electronic signatures (not qualified ones), and keep your Vault recovery key safe.
Meetings, recording and transcription
- When transcription or recording is on, everyone in the meeting sees it on screen the whole time. Members joining from the app are shown a notice; guests joining by link see your notice and must agree before they join. You set the notice text in Settings › AI and are responsible for it meeting the law where your participants are.
- You decide whether recordings and transcripts are kept and for how long. They are Customer Data.
Signing
- Signing creates electronic signatures that meet the ESIGN Act and UETA in the US, and simple electronic signatures under the EU eIDAS Regulation; with the evidence we record they can support advanced electronic signatures. They are not qualified electronic signatures. Each signed document is sealed with a record of who signed, when, from which email and IP address, and a SHA-256 hash of the document, so any later change can be detected.
- Some documents cannot be signed electronically in some countries (for example certain wills, deeds for land, notarised documents, or documents that need a qualified signature). You decide whether electronic signing suits a document.
- Signers are told they are agreeing to sign electronically and may ask you for a paper copy. If you ask US consumers to sign, you must give them the ESIGN consumer disclosures first.
Finance, invoices and payroll
- Coding Cords works out and records invoices, expenses and payslips from what you enter. It does not move money, pay salaries, or file tax returns, and it does not give tax, legal or accounting advice. Check figures, tax rates and payslips before you issue or rely on them.
- Payroll data (salaries, tax numbers, bank details) is visible only to the people you give access.
Vault
- The contents of Vault items are encrypted in the browser and we cannot read them. Their names and some details are not encrypted this way, and your company's admin holds a recovery key that can open every collection; see Security.
- If every master password and passkey for an item and your company's recovery key are lost, nobody can recover the items, including us.
Client portal
- Clients you invite see only what you share with them. You are responsible for what you share and for your relationship with them.
Mail, phone and AI
See the Sending and Outreach Terms, the Phone and Calling Terms and the AI Terms.
Beta features
Features marked beta are offered as they are, may change or end, and are not covered by the SLA.
