Sending and Outreach Terms
Version 1, in effect from
On this page
The short version. We host mail on your domains and let you run B2B outreach. You are the sender, and you are responsible for following anti-spam and privacy law. Every outreach mail must be honest, relevant to the person's work, and easy to opt out of. We enforce daily limits and pause mailboxes or domains whose bounces or complaints get too high, to protect everyone's delivery.
1. Mail hosting
- Add only domains you control. Keep the DNS records we show you (MX, SPF, DKIM, DMARC) in place; removing them can stop your mail.
- Each mailbox and domain has daily sending limits, shown in the app. They protect our mail servers' reputation, and we may lower them for a mailbox with poor delivery.
- We scan incoming mail for spam and malware and may hold or reject it.
2. Outreach is your responsibility
You are the sender of every campaign and the controller of your leads. Before you send, you must:
- have a lawful basis for each contact. For most business contacts in the EU and UK that is legitimate interest: a written assessment, a message relevant to their role, and a clear way to opt out. Some countries, including Germany and Austria, and the UK for sole traders and partnerships, require consent before you write, even to business addresses. Do not send there without it;
- tell new contacts, at the latest in your first message, who you are, where you got their details, and how to object (GDPR Article 14), or link to a notice that does;
- in the US, follow CAN-SPAM: an accurate From line and subject, a valid postal address in every message, a working opt-out honoured within 10 business days, and marking the message as an advertisement where required. In Canada, follow CASL, which requires consent;
- not use bought, rented or scraped lists without a lawful basis, role-only or trap addresses, or addresses that have opted out.
3. Opt-outs and suppression
Every campaign message carries a one-click unsubscribe (the List-Unsubscribe header) and a visible way to opt out. A contact who opts out, complains or hard-bounces is suppressed across all your campaigns. Do not take someone off the suppression list unless they ask, in writing, to hear from you again.
4. Health and enforcement
We watch bounce, complaint and spam-trap rates. Our sending policy may pause a mailbox, sending domain or campaign on its own when it passes the thresholds shown in Sending, and we may suspend outreach for a breach of these terms. Pauses caused by your sending are not refunded.
Report spam sent from Coding Cords to abuse@codingcords.com.
5. Claims
You are responsible for claims, fines and blocklisting caused by mail you send, as set out in the Terms.
